Media & Projection Policy

Coffee

STEAM volunteers are scheduled to start their roles 30 minutes before sound check, unless more time is deemed necessary in advance, for setup. We only have a short window of time to prepare and queue any media files that have not been provided to us in advance. Once tech setup begins, STEAM volunteers are focused on our active roles and responsibilities. Any late-arriving media files will impact the quality of service, reliability of the environment, and eventual volunteer availability.

Please help our volunteers to maintain quality and minimize stress & anxiety by planning early and coordinating clearly. Once STEAM can add additional media tools and volunteers, we may have more flexibility to handle late media in parallel to normal responsibilities. Until that time, please limit same-day media files to Pastor's sermon slides and rare emergencies.

Please provide any media files by attaching them to the appropriate Planning Center plan in the service order section. Links to online content may be difficult or impossible, but we can check if given in advance. Do not send media to personal e-mail addresses or iMessage/text accounts. External customers working directly with STEAM, please provide media files in advance either by thumb drive or a cloud drive service.

Please provide media files in advance. If we don't have time to test media before the production service, we will not use that media in the production service. Keep this in mind when preparing any presentations and when coordinating with the STEAM team.

Media files should be in the following formats, resolutions, and aspect ratios, for projection (and livestream) purposes:

  • video/movie: .mov, .mp4 (1920x1080 or greater, 16x9 aspect ratio)
  • image/slide: .jpg, .png, .gif (1920x1080 or greater, 16x9 aspect ratio)
  • audio/track: .mp3, .aac, .wav, .m4a
  • Please use "Title Safe" margins on images, slides, and videos. You can google "Title Safe" for more information.

STEAM does not support PowerPoint or any other application-specific format. Please convert to one of the above standards.
